Paper and Printing Policy

In line with our sustainability goals, SPG Property Ltd aims to operate as a predominantly paperless business. We encourage electronic communication, digital document storage, and online approval systems to minimise printing.

  • Invoices, statements, and correspondence are sent electronically wherever possible.
  • Physical copies will only be printed and posted upon specific request, or when legally required.
  • All printed materials are produced on recycled or sustainably sourced paper, using energy-efficient printing methods.
  • Internal printing is kept to a minimum, and staff are encouraged to print only when absolutely necessary.


Energy and Resource Management

We continually review our office operations to identify opportunities to reduce energy consumption and waste. This includes responsible use of heating, lighting, and office equipment, and recycling of paper, ink cartridges, and packaging materials wherever practicable.

Complaints Procedure

As a regulated RICS firm, we have in place a CHP, which meets the regulatory requirements. 


Our CHP has two stages. Stage one of the CHP gives our firm the opportunity to review and consider your complaint in full. 


Our firm will try to resolve your complaint to your satisfaction. If you are not happy with our response, you will have the opportunity to take your complaint to stage two. 


Stage two gives you, the client, the opportunity to have your complaint reviewed and considered by an independent redress provider, approved by RICS.


Stage One

If you have spoken to us about your complaint, please put the details of your complaint in writing. We ask that you put your complaint in writing to make sure that we have a full understanding of the reasons for your complaint.

We will consider your complaint as quickly as possible and will acknowledge receipt of your complaint within 7 days. If we are not able to give you a full response, we will update you within 28 days.


Stage Two

If we are unable to agree on how to resolve your complaint then you have the opportunity to take your complaint to an independent redress provider, as approved by RICS Regulatory Board. We have chosen to use the following redress providers:

Health & Safety Policy

 SPG Property Ltd is committed to maintaining the highest standards of health and safety in all aspects of our operations. 


We recognise our responsibility to protect the health, safety and wellbeing of our employees, clients, contractors, residents, visitors and all others who may be affected by our activities. Our approach is founded on compliance with all relevant legislation and the professional standards expected of a firm regulated by the Royal Institution of Chartered Surveyors.


We aim to provide and maintain a safe working environment by identifying potential hazards, assessing risks and implementing appropriate control measures. Health and safety considerations form an integral part of our management practices, site inspections and property management procedures. Our staff are encouraged to take a proactive approach to safety, reporting concerns promptly so that appropriate action can be taken.


SPG Property Ltd undertakes regular reviews of the properties under our management to ensure that common areas, plant and equipment are maintained in a safe condition. Where required, specialist contractors are appointed to undertake inspections, testing and maintenance in accordance with statutory requirements and recognised industry standards. These may include fire risk assessments, electrical inspections, lift servicing, emergency lighting testing and other safety related checks.


We require all contractors working at properties under our management to operate in accordance with relevant health and safety legislation and to provide appropriate risk assessments, method statements and evidence of competence and insurance. Contractors are expected to carry out their work safely and to minimise any risk to residents, visitors and the wider public.

Training and awareness are key elements of our approach. Our team members are provided with appropriate guidance and training to enable them to carry out their duties safely and to understand their responsibilities in relation to health and safety management. We also encourage residents and leaseholders to report hazards or safety concerns so that they can be addressed without delay.


SPG Property Ltd is committed to the continual improvement of our health and safety management systems. Our policies and procedures are regularly reviewed to ensure they remain effective, relevant and compliant with current legislation and professional standards.


Through this commitment we aim to create and maintain safe environments within the properties we manage, supporting the wellbeing of all those who live in, work in or visit them.

Financial Management Policy

SPG Property Ltd is committed to maintaining the highest standards of financial management, transparency and accountability in the handling of client funds. 


As a firm regulated by the Royal Institution of Chartered Surveyors, we operate in accordance with recognised professional standards and robust financial controls to ensure that all monies are managed responsibly and in the best interests of our clients and leaseholders.


All service charge and client funds are held in dedicated client bank accounts that are entirely separate from the company’s own operating accounts. These dedicated client accounts ensure that funds are clearly identifiable, protected and used solely for the purpose for which they are collected. This structure provides clarity and safeguards for leaseholders, ensuring that service charge monies are ring-fenced and applied only to the management, maintenance and operation of the relevant property.


SPG Property Ltd maintains strict internal financial procedures covering the collection of service charges, the payment of contractor invoices, budgeting, financial reporting and reconciliation of accounts. All expenditure is carefully monitored and authorised in accordance with agreed budgets or approved instructions from the relevant directors or client representatives.


Comprehensive financial records are maintained for each property under management. These records provide clear and accurate reporting of income and expenditure and allow leaseholders and directors to understand how funds are being managed. Regular financial reports are provided where required, and year end accounts are prepared in accordance with relevant accounting standards and lease requirements.


We work with qualified accounting professionals and maintain robust systems to ensure that all financial transactions are recorded accurately and that appropriate checks and balances are in place. 


Our processes are designed to minimise financial risk, ensure compliance with legal and regulatory requirements and maintain the confidence of our clients.


Through careful stewardship of client funds and transparent financial management practices, SPG Property Ltd seeks to provide assurance that all financial matters relating to the properties we manage are handled with integrity, professionalism and accountability.
